POSITION DESCRIPTION

 

The Browning School seeks an Administrative Assistant to the Upper School Head (USH). The position is expected to begin in August 2025. The Assistant to the Upper School Head’s office will provide dynamic support to the Upper School Head on a range of annual, ongoing and ad hoc projects at the school’s new grades 9-12 building at 337 East 64th Street. The Assistant will help the USH prioritize multiple projects; have strong organizational and time management skills; possess warm, engaging, oral and written communication skills; and have experience working in administrative support. Excellent interpersonal skills, a passion for being part of the school community and implementing operational and organizational strategies that allow school days to run smoothly, and a positive attitude will be central to the Assistant’s daily interactions with students, colleagues and parents. Professionalism and commitment to maintaining confidentiality is essential in this role. The salary range for this position is $80,000-85,000. 

Primary responsibilities:

  • Coordinate calendars and schedules: ensure the smooth flow of schedules, including populating and updating calendars with school events and regular meetings with colleagues, facilitating seamless transitions between meetings, and directing follow-up action steps when applicable.
  • Support the execution of events: close and open professional community meetings, student assemblies, administrative team meetings, and special gatherings, among others.
  • Ensure a well-organized and hospitable office: maintain filing systems; stock supplies; and serve as a supportive presence willing to help all visitors, students, colleagues, and parents who call or come into the office for any reason. Confidentiality and discretion are vital.
  • Support the Upper School Head School in sending communications to a range of constituents and school partners.
  • Manage expenses for the Upper School Head’s office: collect, reconcile, and submit receipts to the Business Office at the beginning of each month.
  • Maintain and organize matters related to student attendance, record requests and rosters.)
  • Partner with the communications team to format and send official correspondence through the Veracross system.
  • Help organize field trip logistics including transportation and bookings in collaboration with faculty; monitor and assist with sign outs and buses for daily dismissal.
  • Order classroom materials, supplies, and books throughout the year, including summer books and supplies orders for the new school year.
 

Qualifications:

  • Proven experience as an Administrative Assistant with superior organization and project management 
  • Proficiency with G-Suite platforms and databases
  • Experience and comfort interacting, in verbal and written form, with internal and external stakeholders
  • Previous calendar coordination experience
